Commissioners’ Discussion

Lisa Earnhart, CPA with LM Harrison & Assoc CPAs, PC, introduced herself and presented her qualifications to conduct the annual financial audit for the Park District. Ms. Earnhart answered questions from the Commissioners and set a date of August 9, 2919 for the completion of the audit and submittal to the Board.

The Park Board received a report from the Advisory Committee. Benburry will present a review of signage at the Riding Center, Jeryl will work on revising the rental agreement application making it more user-friendly.

Further review of the Cooperative Organizations agreements is required and the storage areas available for each organization needs to be updated in the agreements.

There was an update on the improvements made to the House and a decision on how future rentals will be scheduled. All rentals at the house will be scheduled using the same procedure as renting the meeting room. All rentals held at the house will be posted on the online General Calendar.

The work on the ditch jump is completed and payment should be sent to Sinnett Excavating.

The annual IParks insurance inspection took place in July and recommended installing a fire- resistant cabinet in the tractor shed in which to store all gasoline and other flammable liquids. Also, in order to help prevent injuries from falls, the current bleachers should be cut down from five benches to only 3 benches high.

A discussion took place regarding the proposed new outdoor arena, further discussion should be scheduled on the August agenda as to whether the Board should move forward with this project.

The Horse Trials went well this year but the FRVPC stored tables and chairs in the indoor arena a day early and in effect, closing the arena for public use a day early. Also, “No parking” signs were placed in the front parking lot on Wednesday. The FRVPC should consider scheduling a full facility rental on the Wednesday before the event in order to accommodate this preparation work.

It was noted that holding the Hunter Pace rental on the grounds of the House helped alleviate any potential parking or usage issues at the Riding Center.

The Board would like to obtain another estimate for installing a new water softener and water heater at the Rental House. This estimate should be presented to the Board in August.
